Till, shop, accounting: the same figures in three places

Last updated: November 02, 2026 · Author: Wein & IT editorial team

In short

Double entry happens at the handover points: sales room to accounting, shop to dispatch, fair to stock. It can only be solved in one order – first a binding product list, then the handovers, and reporting last.

Why it drifts apart

Every system knows a product under its own name: a short form at the till, the long form with vintage in the shop, a number in accounting. As long as those three lists do not match, every handover is manual work.

The order that works

  1. One product list that applies everywhere – number, name, vintage, bottle size.
  2. The most important handover first: usually sales room to accounting.
  3. Stock levels after that – they are the consequence, not the cause.
  4. Reporting last. Starting with reports means reporting on figures that do not match.

What you notice day to day

  • No typing up in the evening after a selling day.
  • No recounting at the end of the season, because shop and till agree.
  • An answer on the phone without looking into two systems.

What it does not require

New software for everything. In most businesses the existing systems can be connected – provided the product list is right. That one list is the work nobody can take off your hands, and it is done in a day.

What you can do now

Print the product list from your till and from your shop and put them side by side. Whatever does not match is your to-do list.

Common questions

We work with paper notes in the cellar. Does that have to go?
No. In a cellar, paper is often the most robust tool. The only question is who transfers it and when – and whether that happens once instead of three times.
